In OAU, executive programmes are at least 95% online, this means from the stage of applying for the programme to the stage of finishing the programme, the student might not need to go to the campus more than a couple of times. Besides most of the students in this demography are working class who wouldn’t have the time to leave work so they can be on OAU campus to do anything—which is why the online programmes were good for them in the first place. The Danger of Having a High Aggregate Score in OAU’s Post-UTME and not Getting Admitted

Like many other highly competitive schools in Nigeria, OAU’s model for admissions changes every now and then to level up with events, so it’s okay to say OAU does not have a fixed system for determining who gets admitted and who doesn’t. Don’t get me wrong, the Post-UTME system of screening out thousands of applicants is a constant thing and it has proven itself effective over the years, so this is not what I’m talking about when I say OAU does not have a fixed system for determining who gets admitted and who doesn’t; what I mean is that after the Post-UTME has screened out thousands of applicants who couldn’t score the required average mark in the Post-UTME aggregate score to make them earn the “Eligible for Admission” comment, there are still thousands of candidates remaining who would still have to struggle to earn one admission from the mere 10,000 to 15,000 admission spots available in the school every admission session.

To put things in better perspectives, just assume over 100,000 candidates apply for OAU’s post-UTME, about half of them get the “Eligible for Admission” score and only about 15,000 of these eligible-for-admission applicants would be admitted eventually. Now for those who don’t know, this is when it should get clearer to you that having the “Eligible for Admission” doesn’t necessarily mean you have been admitted or will definitely be admitted, it only means you have passed another stage of the screening process. However, the good side of having the “Eligible for Admission” is that even if you don’t pass the next stage of screening—the departmental cut-off screening stage, with some long legs and other resources put in proper places, you may still be squeezed into one department somehow, meanwhile a person with “Not Eligible for Admission” cannot be considered for anything at all no matter how long their legs are. Now, this is where my position that OAU doesn’t have a fixed system for determining who gets admitted and who doesn’t comes in—the departmental cut-off causes a lot of imbalances and inconsistencies in the admission models adopted per admission session, and these create a good number of unfair situations for applicants.

A person who chooses Medicine and Surgery in their UTME and scores the aggregate score of 75% in the Post-UTME screening might end up not getting admitted at all if the cut-off of this department is above 75% while another person who scored 52% for an aggregate score would easily get admitted to other departments with lower cut-off; it just doesn’t look right that a person with 52% score gets admitted while a person with 75% score would have to go try again next year. I want to believe OAU knows that a person who is able to score as high as 75% in their Post-UTME screening has the good potential of performing well in the university, I know this because the school practises a good level of sentiments for OAU students in Medicine, Dentistry, Nursing, Pharmacy and so on who are failing woefully in these departments, OAU doesn’t make these students have to drop out of school, they make sure they are able to easily transfer to other departments because the worst students in these departments would shine if they are taken to another department; a student getting 40/100 in Medicine and Surgery would definitely get 60/100 if  transferred to Economics. So by this, I know OAU is aware high aggregate score promises that the candidate would do well in school, so it is not okay that OAU lets these applicants have to go and try again next year or change their institution to another school.

I am suggesting that OAU sets a certain score line for automatic consideration for another department relating to your initial department should you not have the score that meets the initial department’s cut-off; like if an applicant who chose Medicine and Surgery has an aggregate score of 75% but the cut-off of Medicine and Surgery ends up being 85%, this means this applicant cannot get Medicine and Surgery, but they should automatically be offered admission to a relating department, it is then left to them to accept or reject the offer. No high-scoring applicant should be left stranded after looking forward for months believing their high score would get them something. The OAU’s admission board needs to look into these things.

 Why Most OAU Transcripts Don’t Get Sent Ever or Get Sent But Several Months After Applying

To save your time (in case you wouldn’t need this write-up), let me list out the aspects of OAU transcript problems I want to discuss here so you know if this write-up would be of help to you in any way or not.

1. I will talk about why people who graduated a long time ago may never get their transcripts or get it but almost a year or after a year that they applied for it; long time ago being 2005 backwards.

2. I will talk about why people who graduated from any department in Health Sciences and Faculty of Pharmacy in OAU may never get their transcript if they make the application online and keep waiting without doing any physical thing on it.

3. I will talk about why people who transferred between departments, people who took a leave of absence, people who had extra year/semester, and people who didn’t graduate may never get their transcripts from OAU.

4. If you have applied for your transcript for close to one year but the tracker on your dashboard is still stuck at “Payment Received”, I will talk about what your case could be too.

5. I will discuss the workable solution to 1, 2, 3, and 4 above.

This write-up may however be an eye opener to you if your case is not listed among 1, 2, 3 and 4 above but you graduated from other schools like OAU but your transcript application is not showing any sign someone is doing something on it to get it delivered.

At Pathfinders Edu Consultancy (PEC), the experiences we have garnered from processing transcripts for people in OAU, UI, UNILAG, AAU, AAUA, UNIBEN, POLYIBADAN and the likes of these schools from 2017 till now have made us realize there are some transcript jobs that are naturally problematic, and their problems, even if solvable at all, would take forever to solve than most clients can be patient for and also cost too much money usually than the what's collected from clients to do a job like this for them. Also, we have learned that owners of these problematic jobs have no idea at all their own transcript case is different, so they keep saying things like: “but my friends are getting their own transcripts naw”, and stuff like that that would make you feel like your efforts to get the problem on their job solved is not understood at all. So for these reasons, we have been wise enough to divide transcript jobs into two: CLASS A and CLASS B. If your case falls on any of 1, 2, 3 and 4 above, you fall on our CLASS B, we take these jobs but only under rigorous and mutual understanding on the bill and the time of delivery. Below is detailed discussion on numbers 1, 2, 3 and 4 cases listed above (our CLASS B jobs).

1.  If you graduated from OAU anytime from 2005 backwards, just remove the idea of “I need my transcript urgently” from your mind, it’s never coming anytime soon if it’s coming at all. The electronic database was introduced in the 2005/2006 session, this means if you graduated 2005 backwards your results are totally on papers at your department. In fact, if you graduated in the 90’s, 80’s and 70’s, it's not enough that your results are only on papers at your department, there are also the possibilties that some sheets carrying your results are lost during movemements or maintenance of office, damaged by rodents or room temperature; transcript production is impossible if your results can’t be found, can't be found compeletely or no one is even trying to look for them. You now get why we need  to negotiate with you rigorously if we are taking this job right?

2. If you graduated from any department in Health Sciences in OAU or Pharmacy, your case is close to number 1 above, only that you still have more hope of getting your transcript, it may only take years if no one is running the errands for you. Reason for this is because Health Sciences and Pharmacy for some reasons don’t deliver their individual results to the Exams and Records they just send the number of graduating students and what they are graduating with (this is not a fact, but if it’s wrong the fact cannot be too far away from it). Health Sciences and Pharmacy for some reasons hold on to their own results, and they try to make sure every student in their departments get a piece of their results signed by their HOD before graduating, so they can use it when they need to process their transcripts. So for this, when you graduate and apply for your transcript online for the school’s Transcript Department to produce, they have no results they would use to produce a transcript for you. Normally, someone from the Transcript Department was supposed to visit your Faculty/College and go process your results from there and get them to the Transcripts Department for the production of your transcript to begin proper, but no OAU staff has that time for such visit. So even if someone is going to get up and go do this for you at your Faculty/College, just know it wouldn’t be that fast, this is why it may take forever before your transcript is delivered if it's going to be delivered at all.

3. If you transferred between departments, forget it, your results can’t be generated on the new database; someone would have to go to your department to collate your results from papers, and no OAU staff wants to do this. So stop wondering why you have applied for your transcript since 19BC but it’s still at “Payment Received”. If you took a Leave of Absence, even if your results are found and collated and your transcripts produced, it would still get stuck at the level of approval because the office to approve it would want to see the letter that approved the Leave of Absence you took, and most student don’t remember to take this letter to the Exams and Records for them to keep it in their file after they have gotten the approval for the leave, they just give it to their department (that would not keep it) or hold on to it themselves and lose it. If you had extra year/semester, you most probably failed multiple courses while you’re in school, so your results are scattered everywhere around different sessions that’s not yours normally; OAU staff don’t have the time to fetch for scattered results like that. If you didn’t complete your programme before leaving OAU, most OAU staff have no idea even 100 Level students have the right to get their transcripts if they need it, they mostly believe only people who have graduated can get a transcript. So if you have already applied for your transcript online just assume someone saw your application and abandoned it because you didn’t graduate and they don’t know you still have the right to your transcripts on the levels you completed.

4. If you have applied for your transcripts online, it’s been close to one year since you applied and the tracker is still stuck at “Payment Received”, 99.99% are the chances your results are not on the database and no staff is trying to go help you get them from papers at your department. A transcript cannot be produced for you lest this is done!

Problems have been discussed, you now have a better understanding why your transcript is taking forever or may never be delivered, but what are the ways out? There are not many ways out, but the one I know is a promising one if you could find people that would be on ground to do some office-to-office tipping and begging for your transcript to be produced, and this process would cost that person time, money, physical and mental stress (so mind what you say to them when things aren’t going as you assume it should). Like I said, we take jobs like this only when the owner agrees to be extremely patient with the process, and they are willing to pay the high price. But my advice to you if you have one or more case among the numbers 1 to 4 problems discussed, just find somebody who is willing to climb mountains and swim oceans for you or go on ground yourself, lest you would wait for OAU staff forever or in vain. When you find someone to help you or you are ready to do this yourself, here are the things would be done in stages.

Stages to Solving OAU’s Transcript Problems

Stage 1: Online application would be made on tps.oauife.edu.ng; amount to pay for this application would vary depending on the destination of the transcript and the mode of delivery. For an electronic or paper transcript to be delivered to the owner in Nigeria (student copy), the amount to pay online is approximately #15,500 (bank charges added). Electronic transcript to be delivered abroad is approximately #23,500, while paper transcript going abroad is approximately #30,500.

Stage 2: The application would be printed out and used to collect a Request for Results (RFR) from the Transcript Department; this RFR would be drafted by the officer in charge of your faculty and it must be signed by the Principal Assistant Registrar (PAR) of Transcript Department. If you transferred between departments, you are collecting a RFR for every department you went to. If you graduated from any department in College of Health Sciences, Medicine and Surgery for instance, you are collecting a RFR for as many departments as Basic Med., Community Health, Mental Health, Med. and Surg.

Stage 3: The RFR would be taken to the department(s) for them to collate your results and have the document signed by the HOD(s) (most departments collect a levee for this, averagely #3,000 per department you submit the RFR to). Normally the HOD is the person to be in charge of this, but no HOD has the time to start digging for results up and down, so they assign this work to a junior staff who would also never want to do it; one must be willing to tip this person to charge them to work (budget #3,000 to #5,000 or a lot of begging for this).

Stage 4: When the results are collated and the document signed by the HOD, take it to the Transcript Department for proper transcript production to begin. Offices and persons that would be involved after here are: Officer in charge of your Faculty (to keep moving the file from one office to another), typist (to type the transcript), the proofreader (who proofreads transcripts), the PAR (who would approve the transcript), and the dispatch officer (who sends the transcript). Budget a lot of tipping and begging for most of these offices and persons. This stage looks like one stage but no it's not, and none of these stages is as simple as my explanation make it look.

Although it has always had to be like this but it’s high time it became shameful that our admission matriculation board and most of our schools are not running on the same calendar. It has always been like that and we seem to have gotten used to JAMB running far ahead with their calendar while the schools are far behind. During the COVID-19 pandemic, we had an excuse to justify that JAMB can be running on a calendar that is one or two sessions ahead of the calendars the schools are running, but now that the pandemic is not a pandemic anymore and things have been going how they should go with no excuse to stay stuck for a very long time like we were stuck during the pandemic, one would think schools should as well get on the running too already, but unfortunately, with JAMB recently giving the deadline for their 2022/2023 admissions and stating when the 2023/2024 admission session is likely to start, while most of the schools are still in their 2020/2021 session with no strong hope of even finishing this session in the year 2022. This is a shameful thing about our education system that must be paid attention.

 I can tell a story of how no one was attending any private primary or secondary school in the early 90’s because there was nothing that was going to make anyone think the few private schools around would have anything to offer. Then the long NLC strike around the mid-90’s struck and made a lot of people had to take their kids to the private schools to keep them busy, which was when parents discovered that the private schools are better than the public schools. Hence, that marks the beginning of the public schools going extinct. Fast forward to 2022, even the children of the poor would go to private schools and rather wear torn uniforms and owe school fees and be sent out of classes every day than go to a public school; the public schools have been left for the children of the extremely poor families. I told this story so we can relate it to what is going to happen to the federal universities in few years’ time. I say this because when the private universities were coming in, no one wanted to take their children there, and this is not just because they couldn’t afford it, but also because everyone thought no private university would have enough resources to be able to deliver what the federal universities are delivering. Fast forward to 2019, 2020, 2021 and 2022 when strikes and disrupted calendars are the normal things with federal schools now and private schools are becoming far equipped even than the federal schools, parents are now preferring private schools to federal schools—even when they always have to take up loans to be able to afford it. Here is why that is so: a private school’s calendar is not disrupted by anything, in fact they all want to run two sessions in one calendar year while the federal schools are completing only one semester per year.

So what is the best advice to give to a Nigerian parent to help their child escape the troubles of having to write the UTME multiple times before getting admitted and having to wait for another year after being admitted before they can actually resume school, and then strikes and schools’ closedowns hit steady to make them spend extra years on their programmes? My advice for parents who can afford it is to send their children abroad for studies, if you cannot afford sending your child to study abroad, then your next choice is to find a good private university—these schools don’t ever want to run slow, and that is good for your children and their time. If you cannot afford sending your child to a private school, just take up a state school; here you get what you pay for to a good extent, and time is also saved. Talking about time being saved, please don’t let anyone deceive you a graduate of a federal university has more worth in the labour market than a graduate of a private or state schools; that discrimination has disappeared. If your child must go to a federal school, just make sure you keep them on some practical programme or professional programme aside the schooling, so that as the school is trying to burn the time of their life away, they are gaining thee time back from adding more skills or certification outside of their school programme. For instance, if you have a child who just got admitted to study Management and Accounting in a school like OAU where the child is most likely to spend five to six years on a 4-session programme that should end in about 3 years, you are advised to put the child on some ICAN programme already, so that by the time they graduate from OAU they are also getting chattered as an accountant already. Our federal schools obviously cannot meet up with the JAMB calendar again, we should give up on wanting that already.

When it comes to record keeping, our Nigerian schools are awful—everyone knows this by now. As if this awfulness at keeping records is not enough, the awfulness at information and doing what’s to be done and on time join together with many other things about how these schools always cause their alumni troubles and pains. Now that the world is almost done moving from papers to soft, it is shameful to realize that our schools are still at least 90% paper-centric. The most shameful thing to know is how the schools dominating the higher institutions still unable to move their records keeping to digital are the biggest and oldest schools in Nigeria; one would think since these schools have the better resources it would have been more easier for them to have ported everything to digital by now, but the unfortunate is the case.

For schools like OAU and UI, it is understandable that the schools have documents as old as 60-70 years old on papers, and porting them to digital wouldn’t be that easy, but the question is: are they even trying to port these old documents from papers to softcopies at all? Because judging by the fact that even the documents that are only 2-3 years old are still very much carried around in paper forms, it indicates that none of these schools is really ready to avoid from happening to this generation about finding their documents what is currently happening to the previous generations. Relating this misfortune to how it makes it almost impossible for alumni of old ages have their transcripts for instance, and how the excuse is that their results are on papers and a lot of damages and losses have happened to many of these papers in the decades they have lied somewhere useless.

Old alumni of OAU and UI are the most suffering of all the communities of alumni in the world, as these schools can’t even account for so many of their results anymore, making it impossible or difficult for them to get their transcripts. Like I have stated, it doesn’t look like something tangible is in play to solve this problem for the old alumni, neither does it look like the so called “electronic processes” currently in play are seriously for making sure this generation doesn’t depend on paper too, and they don’t have paper damages and losses problems in a future near. We cannot keep doing things the same way and be expecting things to change or get better; these transcript problems Nigerians are experiencing don’t look like problems going away anytime near—unless we are radical about the digitalization of data.

It’s been five months or so that most of the universities in Nigeria have been on total shutdown because every of the major unions that keep the institutions functioning have been on strike. The implication of this is that for almost half a year now, most students of Nigerian universities have been out of school, and this is pathetic for a country as Nigeria; it becomes even more pathetic when you realize how the government is not prioritising attending to the problems the unions are having by putting all hands on the matter. The second half of the year 2022 starts in a couple of days and it’s not even looking like it yet that the universities are resuming soon. Like play, this is looking like the 2012 and 2017 universities shutdown that took almost a year; more like this reoccurs every five years. This does not say anything good about the education system and the government at large.

Now, it’s funny that the whole universities are shut down and ASUU is the only union everyone is talking about—even though the talking is not having any productive outcome. One would think everyone would be aware by now that ASUU is only one union of the unions that keep a university functioning, and that none of them can singularly shut the university down totally. So when a university is on total shutdown, it must be known that it must be the major unions of the university are off work, and that is what is happening in Nigeria right now. People think students are the only victims of the universities’ total shutdown, but no, alumni suffer as much as the students too; final year students who recently wrote their final papers cannot be mobilized for service because no one to process their results, alumni cannot get their documents they need from their schools to move on in life because no one to produce the documents for them, everyone is stuck! I don’t know if the government sees it this way, but the country is going nowhere forward when everyone is stuck.

What an Unofficial Transcript and an Official Transcript Mean and what they can Be Used For

Having to explain to clients the meaning and uses of unofficial transcript and of official transcript is one of the things we steadily encounter per day, it’s almost like travel agents/PR and schools aren’t explaining enough what they mean when they ask travel aspirants to provide their unofficial or official transcript. But this is Pathfinders Edu. Consultancy (PEC), part of our jobs is to enlighten people who may be needing such, and the fact that this write-up caught your interest and retains your attention till this line can only mean that this topic we are about to discuss means so much to you. Trust us to give you the best of information anytime. Now let’s talk about what unofficial transcript and an official transcript mean and what we can use the two for.

Unofficial Transcript: an unofficial transcript is your own copy of your transcript and any other kind of transcript held by a body it was not addressed to. You can have your transcript sent to you by email or by courier (paper), but so long it’s you the owner they are addressing it to, then it is totally an unofficial transcript. Also, if your transcript was addressed to and sent to, for example, University of Lagos by University of Ibadan, but you go to University of Lagos to retrieve it and then send it to Obafemi Awolowo University, such transcript is only official to UNILAG but not to OAU. So don’t mind people who think their transcript is still official when they us this method in getting their transcript. Yes “official” can be written on the transcript because it is meant to be official to UNILAG, but when it gets to OAU, the fact that it’s not addressed to OAU alone makes it unofficial to OAU. If you have any institution that collects this kind of transcript as official transcript, the implication is that they do not know what official transcript means. Recently, the use of an unofficial transcript is popular in seeking for postgraduate admissions and scholarships, and mostly, when the admission or scholarship has been offered provisionally, they would ask for your official transcript.

Official Transcript: when you are asked to provide your official transcript, just know they are asking you to ask your school you graduated from to send them your transcript directly; it could be sent via email, or via courier or uploaded to their portal, but the sending and uploading can only be done by your school and done directly to the people or institution needing you to provide your official transcript. Note that an official transcript doesn’t depend on whether it is an association you are sending it to or an organisation or another tertiary institution or an employer, just know that so long the recipient is not you and the document is received by the body your school addresses it to, then it is an official transcript. A lot of people think if they request for their transcript from their school asking them to send it to a body, it would be an official copy, and they can collect it from that body and send it to another body requesting for their official transcript and it would still be official to them. Only one part of this thinking is right, the other is wrong; if you use the name of a body to request for your transcript and your school addresses it to that body and sends it to them, yes it is an official transcript to them, but when you retrieve it from that body (and open it or not), and then send it to another body which it is not addressed to, it is not an official copy to the that body. Official copy of a transcript simply means it is confidential between your school and the receiver to whom it is addressed and it is sent to. The uses of official transcript are formal; graduate schools ask for official transcripts when they have offered you a provisional admission and they need to be sure the unofficial transcript you used to seek for the admission is authentic. Employers ask for official transcript too, in fact these ones now prefer an official transcript to the certificate you submit to them; this is because you can render a fake certificate, but your school wouldn’t want to send them a fake transcript. Beside, your transcript gives more details about your activities while you were in school. Evaluation bodies only take official transcripts; only your school can send it to them directly and it must be addressed to them and sealed.

If you were a student with special cases while you were in school, like you had to transfer from one department to another and your school does not start a new CGPA for transfer students but only continue their CGPA where they left it at their previous department, you'd also have to be cautious of the evaluation body you choose, apart from these factors, you are good to choose any evaluation body that fits your interest. I have written a piece on how everyone just goes for WES out of dozens of other evaluation bodies without considering which is best for them (please read it here), I am writing this to inform you that, contrary to what many believe, if you are aspiring for Canada or United States, your evaluation body does not have to be WES, there are other evaluation bodies you can choose from. IQAS is there, ICAS, and ICES are there, and ECE too. In fact, a couple of these evaluation bodies do not only have cheaper application rate over WES, they also have ease of payment over WES, they have short return time, they have swift customer response, and they are well accepted by most of the institutions that accept WES. So all the rush towards WES when there is the need to evaluate document is not necessary at all.

Almost everyone who tried to make payment to WES for the evaluation of their results encounter some problems while trying to make their payment; the most common of these problems is the payment not going through and the payment platform not giving an explicit reason as to why the payment keeps failing. So if you have been trying all day today, just take a break and try again tomorrow but earlier now; other things being in their right places, you would record success if you can meet up with the day’s quota.

Another common factor that could cause problems for you while trying to make your WES payment is the bank card you are using; contrary to how a lot of people think you must have a Dollar  card to be able to make payments to WES, you do not have to! Your Naira card can do the job just fine so long you are using any of the card types the platform accepts. Only that this issue of Nigerian banks having a lot of CBN procedures on any fund getting wired abroad and in foreign currencies makes the banks have problems with approving funds easily. So, this might cause you to keep trying several times before your payment to WES goes through.

At this time when OAU is on almost 100% shutdown—to mean most of the workers’ unions in the university are on strike and most of the usual processes and activities in the university are currently off, what should a proactive OAU aspirant do so as it wouldn’t be like they have passed UTME and they just want to wait as others till OAU says something—which is dangerous? Yearly, I always advise OAU aspirants to never have a reason to wait till OAU says something about post-UTME before they start making moves about their admission processes; there are thousands  (if not millions) of UTME applicants who chose OAU as their choice of school, but the 200/400 total UTME score required by OAU for an aspirant to qualify for their post-UTME cuts the competition down by lots of thousands to fewer thousands who will also have to compete in the post-UTME before the school’s departments would give out their cutoff marks to cut more thousands of applicants off to the level of having just a few hundreds or less per department. This would mean that from the level of picking up a UTME form and choosing OAU, to the level of admission, being an OAU aspirant would mean that you are competing with thousands of people who want the same thing you want, and there are a lot of things you must do differently and better to be what determines whether you win in the competition or you lose in it.

Picking the most suitable subject combination for your choice of course, scoring high in the UTME, scoring high in the post-UTME, etc. are factors that would necessarily increase your chances of winning in the competition (getting admitted). Added to these would be the fact that knowing who you should know and doing some underground “leg works” would increase your chances of winning in the competition (getting admitted) and winning how you want (getting the course you most desire). The implication of this is that scores alone aren’t enough to guarantee your admission (please note that I didn’t say high score would not get you an admission in OAU, I only said knowing the right people and doing what they need you to do, meticulously and on time would increase your chances of getting admitted). Please decipher this information properly and talk to somebody who knows better about it.

As at now that the school is on strike and most applicants would be waiting for when the school comes back on before they can start making moves on their admission processes, I’d advise an OAU aspirant to:

1). rather be proactive and start preparing for the post-UTME already, as OAU can actually announce the registration and exam date at any time regardless of the ongoing strike. So, you should get your OAU post-UTME study packs now and start studying for the exam already (we can help you get the study packs and courier them to you if you are far away from OAU/Ife);

2). sign up for coaching at a tutorial centre that understands OAU styles of screening (we would be glad to have you at our tutorial centre in Ife, and we promise to deliver success in the post-UTME and admission processes, read about our tutorial centre here. 3). network with other OAU aspirants and join chat groups full of OAU aspirants like you, this would help you get informed, you can also confirm information in the groups; just be careful to not strongly attach to another candidate’s experience or strategies, what worked for them may not work for you; also, and importantly,

4). try to connect with people who are strong in the system from the level of your aspired department to the level of the Senate of the school—you would understand what I mean by this if you agree that in Nigeria, the people you know where you are going would determine how fast and easy the doors open to you.  I will not explain this more than I already have, but please do what you should with this little information I just gave you.
